ADMINISTRATIVE ASSOCIATE (CONTRACTOR)
Job Description
Women of Color in the Arts (WOCA) seeks a self-motivated, detail-oriented Administrative Associate (Contractor) to provide essential administrative support to WOCA’s daily operational activities. This contracted position will report directly to the Membership Manager and offer assistance to WOCA’s small but growing team.
The ideal Administrative Associate candidate is a creative and critical thinker that has a decolonized approach to nonprofit work, an acute understanding of community, experience working in a dynamic environment that demands a high level of flexibility and problem-solving skills, and a clear alignment with WOCA’s mission and vision. Prior background working in a nonprofit arts or cultural organization, particularly within a grassroots setting, is especially valued.

Fully remote office
SCHEDULE
WOCA recognizes we have team members across various time zones therefore work schedules are flexible with organizational hours typically running Monday - Thursday, from 10 am - 5 pm ET.
KEY RESPONSIBILITIES
The Administrative Associate will:
interface with WOCA community members
serve as the first point of contact for WOCA, managing general inquiries and directing messages to the appropriate team members when needed
handling all of WOCA’s administrative duties including updating and managing communication and programming timelines and organizational/team calendars
handling of team meeting agendas, reminders, and post-meeting recaps
maintain and update accuracy of member records, demographics, and contact information; including membership renewals and member offerings forms
communicate with the Membership Manager regarding WOCA’s membership status, demographics and inquiries from WOCA members
manage WOCA’s email mailing list - import and update contact information for current and prospective WOCA members, allies, and supporters
create, schedule, and maintain the distribution of WOCA’s weekly career opportunity newsletter, The Pipeline including the review and report of incoming submissions
assist with creating and managing event registrations and attendee communication
serve as part of support team for in-person and virtual gatherings
assist with creating survey forms and polls for programs and events
create and share post-event reports for WOCA team members
monitor and engage with WOCA’s members-only Facebook group, Instagram, and LinkedIn.
QUALIFICATIONS

attention to detail with a focus on timely execution of tasks
superior written and verbal communication skills
ability to adapt easily to evolving needs and priorities
tech savvy and resourceful
proficiency in online platforms and/or a willingness to learn - particularly valued is a familiarity with project management tools (i.e. Asana), Google Workspace, Submittable, Zoom, CRM and database management systems
a creative and critical thinker with a decolonized, equity-centered approach to nonprofit work
COMPENSATION AND BENEFITS
$6,000 for 6 months at 25-30 hours/month
remote work environment + flexible schedule
as a contracted position, contractors are not entitled to employee benefits

Women of Color in the Arts (WOCA) is a national, grassroots service organization driven and grounded by our values and dedicated to creating transformational change in the arts and culture sector.
